Admissions staff spend less time sending individual chase emails and more time reviewing complete files. Completion trends by program reveal where the application itself creates friction.

Admit yield and melt prevention

Admitted students receive a sequence that builds commitment: congratulations from their program, invitations to admitted student days, housing and aid milestones, and deposit reminders. After deposit, a summer journey watches for incomplete steps such as orientation registration or immunization forms, flagging at-risk students to counselors before they quietly choose another path. Counselors see the same signals in their daily work list.

Enrolled students receive targeted reminders about registration windows, financial aid renewal, advising appointments and support services. Triggers from the learning management system or early alert tools can prompt outreach from an advisor when attendance or grades slip. Apply FERPA boundaries

Once a student enrolls, education records are protected under FERPA, which limits sharing with parents and third parties without consent. Work with the registrar and counsel to decide what enrolled student data flows into Marketing Cloud and which messages may reference it.

Manage texting consent carefully

Text messages are effective with prospective students but require documented consent under telephone consumer protection rules. Capture opt-ins with a source and timestamp, honor opt-outs immediately across every sending team, and be especially cautious when contacting minors or their parents.

Coordinate across departments

Admissions, individual colleges, athletics, housing and financial aid often all email the same students. Without shared calendars, frequency rules and business unit design, students get overwhelmed and unsubscribe from everything. Set governance for who sends what before giving every department access.

Salesforce Marketing Cloud for education: questions.

Do we need a Salesforce CRM as well as Marketing Cloud?

Most institutions pair Marketing Cloud with a Salesforce CRM for recruitment, where counselors manage inquiries, applications and appointments. Salesforce also offers Education Cloud, which adds a data model for learners, programs and academic relationships. Marketing Cloud can run on data from a student information system alone, but counselors then lack a working view of each prospect.

How do we handle parents and guardians?

Parents often need their own messages about cost, safety and deadlines. We model them as related contacts with separate preferences, so a parent track can run alongside the student journey. Once a student enrolls, FERPA limits what parents may receive about that student, so the rules change at that point. Consent records follow each person separately.

Can continuing education and online programs use the same account?

Yes. Business units or separate journeys can serve adult learners, certificate programs and corporate training, each with its own branding and cadence. Adult learners respond to different content, such as schedule flexibility, career outcomes and employer tuition benefits, so those programs deserve their own strategy rather than a trimmed copy of first-year recruitment. Shared suppression rules still apply across programs.

How do you measure recruitment marketing?
