What integration looks like for education

For colleges, universities and school networks, integration usually means Salesforce working beside a student information system that is not going anywhere. We connect application platforms and inquiry sources for admissions, pass admitted students to the SIS for matriculation, and bring enrollment, registration holds and academic standing back so advisors and success coaches can act on them. For advancement, gift and biographical data are linked to the same person who was once an applicant and a student. Each connection is scoped to the minimum data a team needs, with the SIS and registrar retaining authority over the academic record.

Why education is different.

Campus data has strict owners. The registrar controls the academic record, financial aid controls award data, and advancement controls giving history, and each office has legitimate reasons to limit access. Integrations must reflect those boundaries rather than pour everything into one org. The academic calendar also drives load: application deadlines, census dates and the start of term produce bursts of changes that nightly jobs may not clear quickly enough. A single person also changes role over time, from prospect to applicant to student to alumnus, often with different identifiers in each system, and matching them correctly is what makes a lifelong record possible.

What the work covers.

Application and inquiry intake

Inquiries from events, search services and web forms, and completed applications from an application platform, land in Salesforce as prospects or applications linked to a single person. Matching rules catch the student who inquired under a personal email and applied with a school address, so recruiters see one history and communication cadences do not double up. Source codes travel with each record, which keeps recruitment channel reporting honest.

Admit to SIS handoff

When an applicant is admitted and deposits, the integration creates or updates the student in the SIS with the assigned term, program and student ID, then writes that ID back to Salesforce. That identifier becomes the join key for everything that follows, from registration to graduation and alumni giving. Deposit reversals and deferrals are handled as explicit events, so the SIS is not left holding students who changed their plans.

Student success signals

Registration status, holds, midterm grades and learning management activity are pulled into Salesforce as summaries rather than raw data. Advisors get an alert when a student has not registered for next term or has stopped logging into courses, and outreach is recorded where the whole success team can see it. Coaches, tutors and financial aid staff then coordinate on one case instead of sending parallel emails.

Advancement and gift records

Gifts, pledges and biographical updates from the gift processing system link to the alumni record in Salesforce, so relationship managers see giving history beside engagement, event attendance and student-era activities. The gift system keeps financial authority, and Salesforce reflects receipts and pledge balances for prospect management. Address and employment updates captured by either side are reconciled on a schedule rather than overwritten blindly.

Approach

How we run it.

Each office that owns data joins discovery: admissions, the registrar, financial aid, IT and advancement where relevant, plus whoever manages FERPA compliance. We agree on the person identifier strategy before building anything, because matching errors are the hardest problem to undo. Connections are then released in the order students experience them, starting with inquiry and application intake, followed by the admit-to-SIS handoff, then success and advancement data. Every flow is tested against a masked copy of a prior cycle, and go-lives are timed away from application deadlines, census date and the first week of term.

Student information system

Admitted students, program and term are sent to the SIS; student ID, registration status, holds and standing return to Salesforce for advising and retention outreach.

Learning management system

Course engagement summaries such as last login and missing assignments feed early alerts, without copying gradebooks or course content into Salesforce.

Application platform and gift processing

Submitted applications and supporting documents arrive for admissions review, and receipted gifts and pledges link to alumni records for advancement staff.

What to get right first.

Apply FERPA at field level

FERPA governs who may see education records, and plenty of Salesforce users will have no school-official reason to view grades or holds. Work with your registrar and counsel to decide which fields each role sees, apply field-level security and sharing to match, and keep integration users limited to the data each connection actually needs.

Settle the person identifier

Applicant IDs, student IDs, alumni IDs and email addresses change over a lifetime. Decide which identifier is authoritative at each stage, how Salesforce stores cross-references, and who resolves suspected duplicates. Getting this right early prevents mismatched records that are very difficult to untangle later.

Size for calendar peaks

Deposit deadlines, add-drop periods and census dates generate heavy change volume in a short window. Test integrations against those peaks, consider near-real-time updates for status changes that trigger advisor outreach, and avoid scheduling releases or cutovers during those busy stretches of the academic year.

Integration for education: questions.

Does the SIS stay in place once Salesforce is connected?

Yes, and we would not recommend trying to retire it. The SIS handles registration, transcripts, degree audit and financial aid packaging, all of which carry regulatory weight. Salesforce sits beside it for recruitment, advising, service and advancement. The integration carries the pieces each office needs, so staff act on current student information without duplicating the academic record in a second place.

How often should enrollment and registration status update in Salesforce?

It depends on what the data triggers. Nightly updates are usually enough for reporting, but a registration hold or dropped enrollment that should prompt advisor outreach benefits from near-real-time delivery. We classify each data element by urgency during discovery and build event-driven connections only where speed changes what staff can do, which keeps the overall design simpler to support.

Can advisors see grades from the LMS in Salesforce?

They can see what the institution decides they should. Many campuses share midterm grade flags, missing-assignment counts and last activity rather than full gradebooks. We bring in those summaries through the LMS's APIs or data exports and restrict visibility to advising roles, keeping the detailed academic record in the systems built to hold it and protected by their own controls.

How do we connect advancement to the rest of the student lifecycle?

The student ID written back at matriculation is the bridge. When a student graduates, the alumni record inherits that identifier, so their activities, affinity groups and service history carry forward. The gift processing system then links donations to the same person, giving relationship managers a history that began with their first campus visit rather than their first gift.
