Hospitality and transportation companies run on reservation engines, property management systems, loyalty platforms and dispatch or fleet tools, and Salesforce rarely replaces any of them. Integration connects them so group and corporate sales teams see room blocks, pickup and contracted rates beside the account; service agents see the guest's stays, trips and loyalty tier when a case opens; and marketing segments on real behavior instead of stale exports. We define how a guest or traveler is identified across properties and channels, which system owns each attribute, and how quickly each update must arrive to be useful.

The guest record in hospitality is scattered by design. Each property, brand or booking channel may hold its own profile, and third-party travel sites often pass along limited or masked contact details. Integration has to stitch those fragments together carefully without merging two different travelers who share a name. Timing matters more than usual, because a room block's pickup, a flight delay or a vehicle breakdown changes what sales or service should do within hours. Inventory is perishable too: an unsold room night or empty seat cannot be recovered, so group sales needs availability that is current enough to quote with confidence. Payment card data also flows through these systems and must stay out of Salesforce.

Group block and pickup visibility

Contracted room blocks, cutoff dates and nightly pickup from the property management or sales and catering system flow to the Salesforce opportunity and account. Sales managers see which groups are underperforming against attrition clauses before the cutoff date, and can reach the planner in time. Actualized revenue from past events returns after departure, giving the team a truer picture of each account's value than contracted figures alone.

Unified guest and traveler profile

Profiles from reservation, property, loyalty and customer service systems are matched into one guest view, using Data Cloud or a matching service to resolve identities across brands and channels. Agents see stays, preferences and open complaints together, and the profile respects each guest's communication choices. Guests booked through third-party sites are linked only when enough verified detail exists to avoid merging strangers.

Service recovery with context

When a guest reports a problem during or after a stay or trip, the case in Service Cloud pulls the reservation, room or vehicle, loyalty tier and prior issues automatically. Compensation such as points, credits or vouchers is posted back to the loyalty or billing system from the case, so the gesture is honored without a second request and appears on the guest's record for next time.

Fleet and dispatch status

For charter, shuttle and transportation operators, trip assignments, vehicle status and delay notices from dispatch or telematics systems update the booking in Salesforce. Account managers and service agents can tell a corporate client exactly where a trip stands, and operational exceptions such as breakdowns open cases automatically. Trip history also feeds renewal conversations with contracted clients about on-time performance and recurring problem routes.

We map one guest's journey and one group's lifecycle with sales, revenue management, operations and the loyalty owner before building anything. That reveals which systems must connect first; for most clients it is the sales and catering or property feed that group sales depends on daily. Guest identity comes next, because service and marketing both rely on it. Integrations are tested against a full booking cycle, including cancellations, modifications and no-shows, and go-lives are scheduled outside peak travel periods and major event dates at the properties involved.

Room blocks, rates, pickup, event orders and actualized revenue synchronize with Salesforce accounts and opportunities, while the property system keeps control of inventory and folios.

Loyalty and reservation platform

Tier, points balance, stay or trip history and upcoming reservations enrich the guest profile, and service credits issued in Salesforce post back to the loyalty ledger.

Dispatch, fleet or telematics system

Trip assignments, vehicle status and delay alerts update bookings and open service cases, letting agents answer corporate clients without calling operations for a status check.

What to get right first.

Keep card data out

Reservations carry payment card details that fall under PCI DSS. Design integrations so card numbers never land in Salesforce fields, notes or attachments; pass tokens or references instead, and review email-to-case and web forms so guests cannot paste card numbers into a record by accident.

Match guests conservatively

Over-merging two travelers is worse than leaving two profiles apart, because it exposes one person's stays and preferences to another. Set matching rules that require strong evidence, send uncertain matches for review, and give service agents a clear way to split profiles merged in error.

Honor consent across brands

Guests may agree to messages from one property or brand and not another, and privacy laws in several states and countries apply to international travelers. Carry consent and preference data through every integration, and make sure marketing sends respect the most recent choice.

How current does room-block pickup need to be in Salesforce?

Daily is usually enough for sales managers tracking attrition risk, and most property or sales and catering systems can supply a nightly extract or API call. Closer to cutoff, some teams want updates several times a day. We set the frequency by how sales managers act on it, avoiding constant polling that adds cost without changing any decision.

Can bookings from online travel sites be linked to our guest profiles?

Partly. Third-party channels often pass limited or masked contact information, which makes reliable matching difficult. We link those reservations when loyalty numbers, verified emails or direct contact during the stay provide enough evidence, and otherwise keep them as separate stay records until the guest identifies themselves. Capturing verified details at check-in usually improves matching more than any integration technique.

Where should service compensation be recorded when a guest complaint is resolved?

The decision and reason belong on the Salesforce case, but the value belongs in the system that honors it, such as the loyalty ledger or the folio. The integration posts the credit and returns a confirmation, so finance reconciles one record and the guest sees the gesture reflected without making another call to the property.

What does integration look like for a multi-property group with different systems at each site?

Acquired or franchised properties often run different property management platforms.
