Why hospitality & transportation is different.

Hospitality is a partial fit for Experience Cloud, and knowing where to draw the line saves money. Guests book through the booking engine, apps and travel channels, which are optimized for conversion and tied to inventory; a Salesforce site should not attempt reservations. The fit is strongest where hospitality companies manage business relationships over time: groups and events, franchise and owner networks, and corporate accounts. Those processes often run on email, spreadsheets and shared drives, even when sales teams use Salesforce. Experience Cloud adapts by giving each business audience its own site and sharing model, and by integrating with sales and catering and property systems for status. For guests, the useful scope is usually a help center and case submission, not a second booking path.

Group and event planner collaboration

Planners juggle proposals, contracts, rooming lists, menus and audiovisual needs across many emails with sales and catering managers. A planner site shows the current proposal, collects the rooming list and attendee changes, and lets the planner approve event orders. Catering and conference services see changes in one place, which reduces the last-minute surprises that frustrate planners and banquet teams alike.

Franchise owner and operator hub

Owners and management companies need brand standards, renovation requirements, training resources and a way to raise questions with the brand. An owner hub organizes that content by property and role, tracks support requests and shows status on initiatives like property improvement plans and brand quality audits. Owner relations teams see each property's open items and engagement before each owner review.

Corporate travel account site

Travel managers at client companies want to see their negotiated properties, program terms, key contacts and how to raise issues for their travelers. A corporate account site provides that information, a way to report traveler issues and a channel for program change requests, while the hotel's account managers log every interaction in Salesforce ahead of the next rate negotiation with that client.

Guest help and loyalty center

After a stay, guests ask about folio charges, missing loyalty credit, lost property and billing disputes. A help center with searchable answers and case submission deflects simple questions and routes the rest to the right property or central team. Guests authenticate with their loyalty login where possible, so cases arrive linked to the right member and stay history without extra questions.

Decide first which records represent groups and events: typically opportunities or booking records synced from the sales and catering system, with event orders and rooming lists as related records. Properties should be their own object, linked to owners, management companies and brand relationships, because owner sites share by property rather than by guest. Corporate clients are accounts with travel program records and contracted properties. Guests who log in to the help center need a person account or contact linked to their loyalty profile, while stay details remain in the property management system and are referenced, not copied wholesale.

Sales and catering system

Supplies group blocks, event orders and function details for planner pages, and receives approved changes so catering and conference services work from current information.

Property management system

Provides folio and stay details for guest help cases, so representatives resolve billing questions without asking the guest to resend receipts.

Loyalty platform

Authenticates members and shares tier and point activity, which lets the help center route member cases correctly and resolve missing credit quickly.

What to get right first.

Protect guest payment data

Folios and billing disputes can involve card information governed by PCI DSS. Never collect full card numbers through case forms or chat, mask payment details from the property management system, and route payment changes to processes designed for secure card handling.

Respect franchise and ownership boundaries

An owner must see only their own properties, and a management company only the hotels it operates. Model those relationships carefully and test sharing with realistic owner users, because exposing another owner's performance or plans would damage trust quickly and could breach agreements.

Serve planners on their timelines

Planners work under deadline pressure and often on mobile devices between site visits. Keep planner pages simple, send notifications when contracts or event orders change, and make sure the sales manager remains the visible contact rather than hiding behind the site.

FAQ

Salesforce Experience Cloud for hospitality & transportation: questions.

Should the guest site take reservations too?

It is technically possible to build, but we do not recommend it. Booking engines are connected to inventory and rates, optimized for conversion and familiar to guests. A parallel booking path adds maintenance and risk. Experience Cloud is better used for service after booking and for the business audiences who need collaboration rather than transactions.

Does a planner site replace our sales and catering system?

No. The sales and catering system remains the authority for space, blocks and event orders. The planner site gives outside planners a friendlier way to see and update what matters to them, with changes flowing back through an integration. Sales and catering managers keep working in the tools they know, with fewer emails to reconcile.

How do owner hubs work for mixed portfolios?

Hotel groups with owned, managed and franchised properties can serve all of them from one site, with sharing rules that show each owner or operator only their own hotels. Content can vary by brand and ownership type, so franchise requirements do not appear for managed properties. We design the property and relationship model before building pages.

Is this realistic for an independent hotel?

Independent hotels and small groups usually have narrower needs, often a guest help center or a planner site for a busy event business. That can work well if Salesforce already supports their sales or service teams. If not, the cost of adopting several products just to run one site may outweigh the benefit, and we will say so.
