Second, data minimization, deciding which clinical, insurance and program data must live in Salesforce and which should stay in the EHR or hub system and be referenced. Third, consent and authorization records, tracked per program and per purpose with effective and expiration dates, so access and outreach can be enforced automatically.

Determine whether your organization acts as a covered entity, business associate or neither for each program, and confirm the necessary business associate agreements are in place before storing protected health information. Configure encryption, audit logging and access reviews to match your privacy and security officers' requirements.

Route adverse event reports

Any free-text field or message on a life sciences portal may contain a report of a side effect or product complaint. Work with pharmacovigilance or quality teams to detect and route those reports within required timelines, and train portal support staff to recognize them.

Keep promotional content separate

Interactions with healthcare professionals and patients are subject to rules on promotion, fair balance and medical information. Keep promotional and scientific content distinct, use only approved materials, and ensure medical information requests reach medical teams rather than commercial staff. Audit this separation periodically.

Should we replace our EHR patient portal with Experience Cloud?

Usually not. EHR portals handle scheduling, results and clinical messaging tied directly to the medical record, and patients expect to find them there. Experience Cloud is better suited to programs and relationships the EHR does not manage well, such as manufacturer support programs, referral networks, research recruitment and professional audiences outside your organization's own clinicians.

Can Experience Cloud store protected health information?

Salesforce offers services that can support HIPAA compliance when an appropriate business associate agreement is in place and the org is configured accordingly. Compliance ultimately depends on your policies, configuration and operations. We work with your privacy and security teams to confirm coverage, minimize the data stored and document controls before any protected information goes live.

Do we need Health Cloud for a patient support program?

Not always. Health Cloud provides patient, care team and program structures that help when programs are clinically complex or involve many relationships. Simpler programs can run on Service Cloud with a focused custom model. We compare the requirements against Health Cloud's current capabilities during discovery, and choose based on fit rather than defaulting to the larger product.

How do we verify that portal users are real clinicians?

Registration can require professional identifiers and check them against authoritative sources through an integration or verification service, with manual review for exceptions. Verified status then controls access to professional-only content and request types. Periodic revalidation catches changes in licensure or employment. The right level of verification depends on what the portal exposes. Document the chosen standard.
