Salesforce for Commercial Trades & Field Service

Commercial trade contractors earn their margin twice: once on the install and again on the recurring service that follows. HVAC, electrical, plumbing, fire protection, roofing, and facilities firms that grow steadily treat maintenance agreements, inspection schedules, and technician time as connected data rather than separate spreadsheets. We configure Salesforce so a quote, a signed agreement, a dispatched work order, and the invoice trail all sit on one customer record, and technicians can close out a visit without calling the office.

How We Help

What we deliver for commercial trades & field service firms.

Service agreement and maintenance plan engine

Salesforce Field Service maintenance plans generate recurring work orders from each agreement, so visit frequency, covered assets, and renewal dates drive the schedule instead of someone remembering to book the next visit.

Scheduling built for multi-day commercial work

Dispatch console configuration with service territories, skills, travel time, and multi-day appointments, so a three-week retrofit and a same-day repair call can share one board without breaking it.

Technician mobile close-out

Field Service mobile flows for time, materials, photos, checklists, and customer signature, kept short enough that technicians actually complete them, with offline support for mechanical rooms and rooftops without signal.

Inspection-to-repair workflow

Inspection results recorded against each asset, deficiencies converted into quotes, and approved repairs dispatched as follow-up work orders, giving office staff a clear queue of open findings by customer and site.

Guided quoting for service and small projects

Revenue Cloud CPQ templates for repair quotes, agreement tiers, and add-on work, with pricing rules by trade and division so estimators and service managers produce consistent proposals quickly.

Labor tracking beyond licensed users

A labor resource model that records contract and seasonal workers, their certifications, and assignments without buying a license for each person, a pattern we used on a Field Service rescue project.

Common Challenges

What we see in commercial trades & field service.

The technology and process challenges that come up in nearly every engagement we run in this industry.

HVAC maintenance agreements that renew by memory

Preventive maintenance visits, filter schedules, and agreement renewals often live in a dispatcher's calendar. When visits slip, the customer notices before the office does, and renewal conversations start from a weak position.

Electrical project work that never becomes service revenue

Electrical contractors finish a tenant improvement or switchgear job, close the project, and lose track of the building. Nobody captures the installed equipment, warranty dates, or contact who should hear about testing and upkeep.

Fire protection inspection and deficiency follow-through

Sprinkler, alarm, and suppression contractors run recurring inspection, testing, and maintenance routes. Deficiencies found on site need a quote, an approval, and a repair visit, and each handoff is a chance to lose the work.

Roofing warranty records and storm-season surges

Roofers juggle manufacturer warranty obligations, annual inspections, and sudden leak calls after severe weather. Without a clear record of roof sections, installation dates, and prior repairs, triage becomes guesswork during the busiest weeks.

Multi-day jobs that break the schedule board

Commercial work rarely fits a single appointment. Installs, retrofits, and shutdown projects stretch across days or weeks, and scheduling tools set up for short calls produce errors, double bookings, and manual workarounds.

Subcontracted and seasonal labor outside the system

Landscaping, pest control, and facilities firms lean on crews who are not full-time staff. Tracking their certifications, assignments, and hours usually happens in side spreadsheets because licensing every worker seems impractical.

Regulatory & Compliance Matters

What we navigate in commercial trades & field service.

Compliance is not a separate workstream, it is embedded in every workflow we deliver. The major frameworks we work within:

OSHA Safety Recordkeeping

Consider how injury logs, training completion, and jobsite hazard documentation are captured and retrieved for field crews.

NFPA Inspection Records

Fire protection firms should plan how inspection, testing, and maintenance results and deficiencies are stored per asset and site.

State Contractor Licensing

Track license numbers, expiration dates, and trade classifications by state for the company and individual technicians.

Prevailing Wage Work

Public and certain commercial jobs may require classification-level time capture that supports certified payroll reporting.

EPA Refrigerant Handling

HVAC contractors should consider how technician certifications and refrigerant recovery or recharge details are recorded on work orders.

Lien Notices

Preliminary notice and lien deadlines vary by state, so project and customer records may need dates and reminders tied to them.

FAQ

Salesforce for commercial trades & field service: common questions.

Can Salesforce Field Service handle multi-day commercial installs and retrofits?

Yes, when it is configured for them. Multi-day appointments, service territories, and skills need to be set up deliberately, and many first implementations skip that step. On one rescue project we corrected a scheduling setup that errored on any job longer than 15 days, which let the client schedule projects of 30 to 90 days. We start by mapping your real job lengths and crew patterns before touching the dispatch console.

Do we need to buy a Salesforce license for every subcontractor or seasonal worker?

Not necessarily. Technicians who use the mobile app to receive and close work need licenses, but contract laborers who are only scheduled and tracked can often be modeled differently. For one industrial-services client, a custom labor resource object let them track 75-100 external workers and their certifications without a Field Service license for each. The right answer depends on who needs to log in versus who just needs to be assigned.

How do you handle inspection forms and checklists that currently live on paper?

We usually rebuild them as short mobile checklists tied to the asset and work order, so results are searchable and deficiencies can trigger follow-up quotes. For documents that arrive as scans or PDFs, Salesforce Document AI can extract checkboxes, tables, and field values. On a proof of concept for a tower-construction firm, that approach pulled structured data from maintenance forms after the team had spent 60+ hours trying to do it alone.

Can quoting for repairs and service agreements run inside Salesforce?

Yes. Revenue Cloud CPQ can hold separate catalogs and pricing rules for each trade or division, calculate labor and materials from measurements, and produce a branded quote the customer signs in the field. A multi-division painting and construction company we supported moved estimators to guided quoting on tablets with automated square-footage math and e-signature, and linked approved timesheets back to job costing.
