Referral sources, clients and companies are often duplicated because attorneys, assistants and marketing each add contacts. We merge records, define relationship roles such as referral source, client contact and firm alumnus, and connect them to the relevant attorneys, so the firm can see who knows whom and which relationships produce new matters. Alumni who move in-house become visible as potential clients.

Attorney-facing home and capture

Attorneys need a short view of their clients, recent activity and upcoming opportunities, ideally inside their email or on a phone. We configure email integration so relevant activity is captured with minimal effort, build a compact attorney home page and hide fields that exist only for back-office purposes. Assistants get their own streamlined view for updating records on behalf of the attorneys they support.

Origination and cross-sell reports

Firm leadership wants to know which practice groups work together on clients and where cross-selling opportunities exist. We rebuild reports on consistent client, industry and practice fields linked to billing data, and give practice leaders dashboards to review during their planning meetings and partner retreats. Client team leaders can also track planned touchpoints and pursuits for their key clients, and managing partners can compare origination across practice groups without assembling figures by hand.

How we run it.

We start with a small group: a business development leader, a representative partner, someone from risk or conflicts, and IT. Discovery examines where attorneys currently look for relationship information and why they avoid Salesforce. Sharing changes are designed with the risk team before any other work proceeds. Improvements roll out first to a pilot practice group, and we gauge adoption through login and activity patterns rather than surveys. Training is delivered in short sessions or one-on-one for partners, with written guides for the assistants and business development staff who support them.

Practice management and billing system

We clarify which client, matter and billing data syncs from the practice management system and hide editable duplicates, so attorneys trust the matter information they see.

Email and calendar

Email and meeting capture is tuned to log relevant client activity without sweeping in privileged or personal messages, following rules agreed with the firm's risk team.

Conflicts and intake system

Where conflicts checks run in a separate system, we align intake data so requests created in Salesforce reach the conflicts team cleanly and cleared status flows back.

Ethical walls and confidentiality

Sharing settings must respect ethical screens and confidentiality obligations. When simplifying access for convenience, confirm with the firm's risk or general counsel team that no wall is weakened, and document exactly how each restriction is enforced in the platform. Revisit this after each lateral hire.

Privilege and captured email

Automated email capture can pull in privileged or sensitive communications. Configure filters and exclusions carefully, decide what is stored and for how long, and have the risk team approve the policy before activity capture is widened to more attorneys. Revisit the filters when practice groups change.

Partner time is scarce

Any change that adds attorney effort will likely fail. Aim to reduce what partners must do, delegate data entry to assistants where appropriate and show attorneys a concrete benefit, such as a ready-made briefing before a client meeting. Design every change with that constraint in mind.

Optimization for legal: questions.

Our partners refuse to use Salesforce. Can optimization change that?

It can improve things, though no firm gets full partner adoption through configuration alone. We reduce what partners need to do, capture activity from email and calendar, and give them a short page that helps with client meetings. Business development staff and assistants handle most entry. Partner usage rises once the CRM is quicker than hallway questions for preparing a client conversation.

Can Salesforce enforce our ethical screens?

Restrictions are enforced through sharing settings, restriction rules, permission sets and sometimes separate record types for sensitive matters. The design must mirror the firm's existing screening policy. We work with the risk team to define rules, test that restricted users cannot see protected records through reports or search, and document the setup for audits. We repeat those tests after later changes.

Can Salesforce track referral sources and their value to the firm?

Yes. Once referral sources are recorded consistently and linked to intake and matter data from billing, the firm can see which relationships produce new matters and what those matters are worth. Cleaning up duplicate contacts and applying consistent relationship roles is the essential first step, and we handle it carefully. Marketing can also use it to plan thank-you outreach to active referral sources.

Will this turn Salesforce into a second matter system?

It should not. Matter management, time and billing remain in the practice management system. Salesforce benefits from knowing a client's active matters, practice groups and key attorneys for relationship and cross-sell purposes. We sync that summary so attorneys see context without Salesforce turning into a second matter system. The sync also shows which attorneys work with each client, which helps relationship mapping.
