Service Cloud for wealth management operations.

Client requests, money movement and account paperwork tracked from intake to completion, so advisors know what is done and clients hear the same answer from everyone.

What Salesforce Service Cloud does for wealth management

Service Cloud gives wealth management firms a structured way to run client service operations. Requests such as distributions, transfers, beneficiary updates, address changes and new account paperwork become cases linked to the household and the financial account. Service associates and operations staff work from shared queues, with steps and approvals appropriate to each request type, while advisors see status without chasing anyone by email. Positions, balances and trade execution stay with the custodian and portfolio systems, and Service Cloud documents who asked for what, who approved it and when it was completed.

Why it fits

Why wealth management is different.

Service in wealth management is delivered through a team, not a contact center. A client calls the advisor, the advisor asks an associate, and the associate submits paperwork to the custodian, often across several systems. Requests that move money carry fraud risk and need verification and approval. Paperwork is frequently returned as not in good order, which creates delays clients notice. Service Cloud adapts by modeling each request type with its own checklist, required documents and approval steps, by giving advisors and associates shared visibility into household cases, and by tracking resubmissions so recurring paperwork problems become visible. Records of client instructions and supervisory approvals also support the books and records and supervision obligations firms face.

Use cases

How wealth management teams use Salesforce Service Cloud.

Money movement requests

Distributions, journal entries between accounts and outgoing wires start as cases with the amount, destination and instruction method recorded. Verification steps confirm the client's identity through an approved callback or secure channel, and requests above set thresholds route to a principal for approval. The completed case records each step, which supports both fraud prevention and supervisory review of how client instructions were handled.

New account and transfer paperwork

Opening accounts and transferring assets from another firm involve forms, signatures and custodian submissions. Each request becomes a case with a document checklist, e-signature status and submission date. When the custodian rejects paperwork, the reason is recorded and the case returns to the associate, and reports on rejection reasons help operations fix the forms and habits that cause repeat delays.

Account maintenance and life events

Address changes, beneficiary updates, name changes after marriage and estate settlements all follow different procedures. Guided flows walk associates through the correct steps for each, attach the required documentation and notify the advisor. For sensitive situations such as the death of a client, the case keeps a clear timeline that helps the firm support surviving family members with care and accuracy.

Advisor and branch support desk

Advisors themselves need help with technology, compliance questions and operations issues. A dedicated case type and queue lets home office teams track advisor requests, measure response times and build knowledge articles for frequent questions. This reduces reliance on informal emails to specific people and gives firm leadership a view of where advisors lose time on non-client work and which fixes would help most.

Design

The data model decisions.

The design usually builds on Financial Services Cloud, with households as the primary account and individuals, trusts and entities related to them. Financial accounts are synced from the custodian or portfolio accounting platform, which remains the system of record for balances and transactions. Cases link to both the household and the specific financial account affected. Record types separate money movement, account opening, maintenance and advisor support requests, each with required fields for request method and verification outcome, so exception reporting and supervision reviews draw from consistent data.

Custodian platform

Account data, transfer status and paperwork rejections flow into cases, so associates track submissions without logging into the custodian portal for every status check.

E-signature service

Forms are sent for signature from the case, and completed documents return automatically, keeping the signed version attached to the request it supports.

Communications archiving

Client emails and messages related to service requests are captured for retention and supervisory review, alongside the case records that show how each instruction was handled.

Plan for it

What to get right first.

01

Design verification into money movement

Fraudulent instructions often arrive by email from compromised client accounts. Make verification steps mandatory in the case flow for money movement, record how identity was confirmed and restrict who can mark a request complete, so the controls cannot be skipped under time pressure.

02

Support supervision and recordkeeping

SEC and FINRA expectations around supervision and books and records affect how client instructions are captured and retained. Agree with compliance on which case fields, documents and approvals serve as the official record, and configure field history and retention accordingly from the start.

03

Give advisors visibility, not more work

Advisors will resist a system that adds data entry. Let them submit requests quickly, see status on the household page and receive updates automatically, while associates handle the detailed case work. Adoption among associates matters most, since they create most records.

FAQ

Salesforce Service Cloud for wealth management: questions.

Is Financial Services Cloud required underneath wealth service operations?

In most cases it is worth it. Households, financial accounts and relationship modeling are central to wealth service, and Financial Services Cloud provides them without a large custom build. A firm with very simple structures might manage on Service Cloud alone, but most growing practices outgrow a custom model and end up rebuilding what the industry product already offers.

Can clients submit service requests online?

Yes. An Experience Cloud client portal can let clients upload documents, request address changes, check the status of transfers and exchange secure messages. Money movement requests submitted online should still pass through verification steps before processing. Many firms start with document upload and status visibility, which reduces follow-up calls, before adding more request types to the portal.

What role can Agentforce play for service associates?

AI agents can help associates by summarizing household case history, drafting client updates and suggesting the right procedure for a request. Agents deployed to clients can handle general form and status questions. Anything involving advice, money movement approval or suitability should stay with licensed staff, and the Einstein Trust Layer and permissions set the boundaries agents operate within.

How do we reduce paperwork rejections from the custodian?

Track every rejection with a standardized reason on the case. Reports then reveal which forms, fields or teams generate most resubmissions. Firms use that insight to add validation to intake screens, update checklists and target training. Over time, the case history becomes the evidence operations leaders need to fix recurring problems rather than guessing at causes.
